We are looking for a detail-oriented professional to manage transportation coordination, logistics documentation, invoice processing, and cost analysis. The role involves working closely with transporters, accounts teams, and internal stakeholders to ensure smooth dispatch operations, accurate costing, and timely reporting.

Key Responsibilities:

1. Transport Coordination

  • Float RFQs to transporters and obtain at least three quotations for each dispatch
  • Evaluate and finalize transporters based on cost and service efficiency
  • Coordinate with transporters to plan and execute dispatches on time

2. Documentation & File Management

  • Maintain and update dispatch files, TPT cost files, and cost comparison reports
  • Prepare Delivery Challans (DC) for shipments
  • Ensure proper documentation and systematic storage of purchase and sales documents on shared drives

3. Invoice Management

  • Verify transporter invoices and share with accounts team for payment processing
  • Prepare and validate sales invoice templates
  • Upload invoices on required portals in a timely manner

4. System Updates & Reporting

  • Update ERP/software for purchase and sales transactions
  • Maintain transporter comparison data to track cost and performance
  • Generate e-way bills/waybills as required

5. Costing & Analysis

  • Prepare logistics and freight costing reports, including:
    • All India Freight Costing
    • Branch-wise Logistics Costing
    • Cost Matrix (Domestic & Transportation)
  • Conduct market analysis on transportation costs on a weekly or need basis

6. Monthly Activities

  • Prepare monthly provisions for logistics and transportation expenses
  • Maintain dispatch data, waybill records, and cost-saving reports
  • Manage RCM and invoice cut-off processes for accurate financial reporting
  • Compile and analyse port dispatch data and reports

Skills & Competencies:

  • Strong working knowledge of Microsoft Excel (Pivot Tables, VLOOKUP), Word
  • Good typing speed (minimum 50 WPM)
  • Strong analytical and coordination skills
  • Proficiency in English (written & spoken) and Hindi (spoken)
  • Knowledge of South Indian languages is an added advantage


Preferred Profile:

  • Experience in logistics, transport coordination, or supply chain operations
  • Exposure to ERP systems and invoice processing
  • Strong attention to detail and data accuracy
