Main responsibilities:
The Execution Assistant - Oilseeds must have a good understanding of different aspects of execution for the Palm Oil. Main tasks include:
Contract Administration:
- Well understands commercial contracts assigned as well as FOSFA/GAFTA, ICC Rules vessel charter parties, contractual obligations, etc.
- Fully understands the services to contract whilst executing contracts such as surveyors, fumigators, shipping and clearing agents and third-party warehouse keepers.
Manage the Shipping Instruction Process Ensuring Documents Meet Contractual Obligations:
- Provides shipping documentary instruction to sellers and ensures that they match LDC’s contractual obligations
- Manages the nomination and cargo appropriation process from shippers to buyers ensuring full compliance with contractual deadlines.
- Appoints third parties (superintendents, shipping agents, clearing agents) to monitor loading/discharging/clearing operations as needed
- Ensure smooth and cost competitive operation during discharging of cargo
- Proactively manages the operations to ensure issues are dealt with and resolved in a timely manner
Maintain the front system updated:
- Maintains timely and accurate updates to the front system
- Maintains accurate filing documentation (soft and/or hard copies) to ensure supporting documentation is available
Manage the Payment Cycle:
- Prepares/checks documentary credits and present documents to the bank in compliance with contract terms as well as UCP & ISPB rules
- Follows up on accounts receivable with Accounting Department to ensure LDC is fully paid.
- Reviews and books incoming intercompany and vendor invoices for payment.
- Elevate issues to trader or execution manager where discrepancies are identified.
Laytime:
- Calculation of laytime to ensure timely settlement of files
Other:
- Follows up on cargo insurance
- Ensured applicable import/discharge formalities are processed on time e.g. Import Declaration Forms, Import Permits, Notices of Intention etc.
- Ensures complete customer and country documentation requirements are properly documented & filed
- Contributes to projects as and when assigned
- Provides technical expertise
- Continuously strives to improve the current way of working

Bachelor’s degrees (International Business, Supply Chain, Logistics or Business Administration or related area)
Experience
2-4 years’ experience at least in a similar function
Knowledge /Technical & Functional skills
- First experience in international trades (preferably in the agricultural industry) with exposure to international contract terms (GAFTA , FOSFA/PORAM ETC) preferred
- Knowledge of international payment instruments, current banking & trade practices, UCP 600 and Incoterms 2010
- Fluent in spoken and written English

- Good aptitude for numbers, analysis and excellent attention to detail
