  • Produces daily stock reports with attention to correctness, promptness, and detail.
  • Provides telephone reception support for incoming calls on multiple lines; greets visitors and responds to questions in professional manner or refers them as appropriate; directs traffic flow through office.
  • Administers processing of invoices. Ensures invoices have the proper level of authorization for payment in compliance with corporate invoice approval policy; proactively works with other departments to obtain required approvals if necessary; determines proper coding. Ensures prompt payment of invoices according to designated payment schedule; follows up on any discrepancies.
  • Assist and maintains all reports for county, state and federal regulatory organizations. Provides requested data audits.  Collects and organizes data; performs account analysis and ad hoc reporting; and coordinates with Office Administrative Manager.
  • Acquires or assists with collation of incoming mail each morning to ensure appropriate distribution. Responsible for filing and archiving in order to keep office organized. 
  • Inventory office supplies and make purchases when necessary. 
  • Receives history information from files/archives.
  • Acts as intermediary between third party associate groups and facility. 
  • Misc. reporting and projects as assigned.

Additional Responsibilities

  • Coordinates calendars of management personnel in order to facilitate communication.  Schedules meetings as requested. 

Education/Professional Certifications/Licenses

The following is the basic qualification: 

  • High school diploma or GED.

The following is the preferred qualification: 

  • Formal business school training or college coursework in accounting, maritime, agriculture, or industrial curriculum

 

Experience

The following is the basic qualification: 

  • One year of bookkeeping/accounting experience or minimum 2 years college

Knowledge/Skills/Abilities (including any physical demands)

The following are the basic qualifications:

  • Good clerical skills, including typing, proofreading and filing.
  • Ability to effectively communicate with customers, vendors and other individuals both internally and externally.
  • Proficiency with spreadsheet and word processing software (e.g., Excel and Word).
  • High degree of accuracy in reporting is necessary.
  • Strong organizational skills

Working Conditions

      Job start time is typically 7AM. Promptness and reliability are necessary. Occasional weekend work may be required in order to accommodate seasonal spike activity. Typical office environment. The extension of regular working hours is occasionally necessary to complete time-sensitive projects, attend training or respond to emergencies.  Periodic visits to industrial operations areas are necessary with exposure to a variety of temperatures and prevailing weather conditions; exposure to gases, vapors, dust and odors; and exposure to areas with wet floors and high volume of noise.  Personal protective equipment (PPEs) will be worn in compliance with Company standards and government regulations as required.
