We are looking for an HR Partner to join the local HR team in charge of all life-cycle HR activities for Ghent and Rotterdam-based employees as the main focus, and provide support to the HR Manager Distribution Countries, Belgium and the Netherlands related to all operational HR activities. This position will partner closely with the rest of the HR team to provide high-quality HR support for all internal customers in a highly demanding and fast-paced environment.

Your main responsibilities:

  • In strong collaboration with the HR Manager Distribution Countries & Belgium and the Netherlands, handle all HR administration related to the employee life cycle of our employees based in the respective geography:
    • Contract management (for all types of HR documents like addendums, attestations, end-of-employment letters…etc).
    • Data update in the HR information system, accurate at all times.
    • Link with payroll providers, ensuring all necessary data are processed with proper documentation in place.
    • Employee file management in compliance with GDPR and data retention legislation
  • Manage relationships with external providers for outsourced HR admin activities (work permits, family allowances…)
  • Manage the onboarding process for new joiners, ensuring a positive experience for them, and setting the path for success. Manage the off-boarding process for leavers.
  • Coordinate relocation activities for international mobility cases, liaising with various providers to ensure a good relocation experience for the new joiner.
  • Coordinate training programs with external providers, manage training records in the system, and follow up on training costs and budget. Analyze development needs and provide adequate solutions to the Managers.
  • Respond to employee queries and requests, providing answers in a timely manner
  • Lead or contribute to process improvement /efficiency, and digitalization of HR admin activities
  • Carry out the recruitment activities for Belgium and the Netherlands in collaboration with the Regional Talent Acquisition Team
  • Provide support and/or lead specific projects related to a variety of topics like events, payroll, budget management, holiday management, and so on

Your profile:

  • Previous experience(s) in HR in Belgium / Netherlands
  • Fluent in English and Dutch
  • Belgian & Dutch law knowledge is a strong plus
  • Knowledge of Workday and/or UKG (PeopleDoc) is a plus but not essential
  • Very good command of Excel, Word, and PowerPoint required
  • Very good attention to details
  • Very good communication skills
  • Very good understanding of business needs
  • Very good collaboration, willing to cover up for other colleagues
  • Adaptable
