Overall Purpose and Objective of Position
This position handles a variety of clerical and/or accounting responsibilities (e.g., accounts payable, check generation and various data collection projects) for a dry mill ethanol plant.  

Primary Responsibilities/Essential Functions

  • Fills in where needed in the office, including settlement specialist tasks and scale room duties.
  • Provides telephone reception support for incoming calls on multiple lines; greets visitors and responds to questions in professional manner or refers them as appropriate; directs traffic flow through office.
  • Maintains good working knowledge of SHE policies, rules and procedures applicable to area of responsibility and ensures all applicable requirements are adhered to.
  • Collates and labels incoming mail and newspapers each morning to ensure appropriate distribution.  Responsible for filing and archiving in order to keep office organized.
  • Responsible for the for updating and running the security system for visitor/contractors/employees.
  • Chemical reconciliation via accruals and inventory, creating and maintaining chemical calendar/schedule.  

Additional Responsibilities

  • Completes miscellaneous clerical tasks as assigned by the Office Administrator.
  • Maintains all reports for county, state, and federal regulatory organizations. Provides requested data for credit references and annual audits/reviews. Collects and organizes data; performs account analysis and ad hoc reporting; and coordinates with staff from other departments.

Education/Professional Certifications/Licenses

The following is the basic qualification:  High school diploma.

The following is the preferred qualification:  Formal business school training or college coursework in accounting.

Experience/Knowledge/Skills/Abilities (including any physical demands)

The following are the basic qualifications:

  • One year of bookkeeping/accounting experience.
  • Good secretarial skills, including typing, proofreading, and filing.
  • Ability to effectively communicate with customers, vendors, and other individuals both internal and externally.
  • Proficiency with spreadsheet and word processing software (e.g., Excel and Word).
  • Strong organizational skills.

Equipment Used

  • Typical office equipment: PC, telephone, fax machine, calculator, scanner and copier.
  • In plant areas: must wear proper personal protective equipment (PPEs) when required.

Working Conditions

Typical office environment. The extension of regular working hours is occasionally necessary to complete time-sensitive projects, attend training or respond to emergencies.  Periodic visits to industrial operations areas are necessary with exposure to a variety of temperatures and prevailing weather conditions; exposure to gases, vapors, dust and odors; and exposure to areas with wet floors and high volume of noise.  Personal protective equipment (PPEs) will be worn in compliance with Company standards and government regulations as required.

  • No supervisory responsibilities.

Decision Making/Accountability

Applies knowledge of Company systems to avoid double-payments or overpayments of amounts, which can negatively affect profit and loss.  Ensures that proper approvals are obtained for invoices; promptly and accurately responds to questions from various sectors; proactively follows up on invoice payment issues and disputes.  Under general direction, prioritizes routine and non-routine tasks. Works independently when handling routine duties; consults with supervisor about unusual matters or infrequent occurrences.
