Primary Objective :
Act as the main point of contact between Cotton Branches and the Corporate Office, ensuring smooth coordination and administration across branches in different states. Responsibilities include managing requests for materials, supplies, and resources, overseeing travel arrangements, lease administration, statutory compliance, and general branch administration.
Key Responsibilities
1. Office Management – Cotton & Grains Branches
- Third-Party Personnel (Housekeeping & Security Staff):
- Allocation of work, supervision, and roster management.
- Attendance and leave tracking.
- Uniform distribution.
- Ensure hygiene and cleanliness of office premises through regular supervision and staff briefings.
- Pest Control:
- Vendor hiring and AMC renewal.
- Schedule pest control activities to safeguard office records and assets.
- Fire Safety Control:
- Vendor hiring and AMC renewal for electric panels, smoke detectors, and safety gadgets.
- Ensure timely servicing and compliance with safety schedules.
- Coordinate with SHE Manager/Admin Manager for Annual Safety Day and related activities.
- Petty Cash:
- Manage petty cash expenses and maintain statements with supporting documents.
- Ensure timely replenishment.
2. Vendor Management
- Handle procurement and maintenance requirements for:
- Repairs, sundry purchases, pantry, stationery, housekeeping, and maintenance.
- Responsibilities include:
- Vendor shortlisting and hiring.
- Obtaining competitive quotes (L1, L2, L3).
- Managing agreements and AMCs.
- Ensuring GST-compliant invoices and payment facilitation.
3. Courier & Daak Management
- Oversee courier bookings and branch-level mail distribution.
- Maintain records and ensure timely invoice payments (weekly/monthly).
4. Travel & Hotel Bookings
- Arrange cab bookings for Cotton Classers, employees, and guests.
- Verify invoices and facilitate payments.
5. Office Leases
- Support Admin Manager in:
- New leases, renewals, and terminations.
- Drafting and executing legally vetted lease agreements.
6. Rent Payment Facilitation
- Ensure timely receipt of invoices from landlords.
- Forward invoices to Admin Manager/Corporate Office.
- Handle account reconciliation and landlord communication as needed.
7. Statutory Compliance
- Oversee compliance at branch level and update records on Lexcare.
- Ensure adherence to laws such as:
- Shops & Establishment Act, FSSAI, Vehicle Registration Act, Environmental Protection Act, Stamp Act, etc.
- GST Compliance:
- Ensure proper display of company signboards at registered branches.
- Collect photographic evidence of signboards and GST Registration Certificates for compliance.
8. Miscellaneous Administrative Tasks
- Oversee housekeeping, pest control, branch safety, petty cash, repair & maintenance, vendor management, courier handling, and other admin-related jobs.

- Ability to coordinate between departments and operating units in resolving day-to-day Administrative and operational problems.
- Good Working Knowledge of SAP Preferred
