Overall, Purpose and Objective of Position
The Maintenance Coordinator will be responsible for coordinating and scheduling maintenance tasks and activities across our facilities.
The job will include planning, scheduling and coordinating preventative maintenance, responding to emergency maintenance requests, and managing maintenance team resources.
Primary Responsibilities/Essential Functions
Plan and schedule preventative maintenance work orders
- Coordinate with maintenance team and other stakeholders for scheduling and execution of tasks
- Ensure all maintenance activities are tracked and documented
- Monitor and manage inventory of maintenance supplies and equipment
- Respond to emergency maintenance requests as needed
- Communicate regularly with management about the status of maintenance activities
- Ensure compliance with health and safety regulations
Additional Responsibilities
- Estimates labor hours, skillsets, parts, materials, equipment and special tools required to complete proactive jobs in a safe and efficient manner.
- Gathers relevant technical documentation such as drawings, schematics, specifications, spare parts lists from equipment histories, OEM manuals and the Knowledgebase system. Verifies the availability of parts prior to scheduling the job. Arrange for special tools and auxiliary equipment when required.
- Maintains an organized and prioritized work order backlog to determine the next highest priority jobs to be planned next and maintains the Ready Backlog at or above 80%.
- Employs the continuous improvement process to update Job Plans for accuracy and effectiveness.
- Improves work order planning and scheduling effectiveness through the review process and use of the maintenance metrics.
Organize basic and detail engineering:
- Prepare packages for execution.
- Coordinate design, layouts, drawings.
- Specify material, select suppliers and prepare data sheets.
Prepare and specify ordering Materials and Labor contracts:
- Request for quotations and prepare requisitions.
- Gather input from project team, including maintenance and automation.
- Include specifications and best practice information
Ensure the proper implementation of engineering best practices and SHE regulations:
- Implements best practices.
- Works with local authorities to obtain building permits, environmental permits, etc.
- Assists in improving the overall status of the plant:
- Assists production team in solving complex technical problems
- Makes plant tours, collects, and handles improvement ideas and promotes an innovative environment.
- Communicates with all departments regarding projects issues.
- Utilizes technical skills and projects experience to promote the identification and solution of workplace problems; stays current with changes.
Decision Making/Accountability
- Able to work unsupervised and make critical decisions on project and plant process management that have direct implications to budgets and profitability of an agricultural processing plant. Ability to work in a fast paced environment with multiple levels of management to make recommendations on capital projects and process improvements.

Basic qualifications:
- High school diploma or equivalent; Degree in business administration, facility management or relevant field is a plus
- Proven experience as a Maintenance Scheduler or similar role
- Knowledge of maintenance processes and health and safety regulations

- Good communication and interpersonal skills

Working Conditions
- Mix between climate-controlled office environment. With periodic visits to industrial operations areas are necessary with exposure to variety of temperatures and prevailing weather conditions. Regular exposure to gases, vapors, dust and odors. Occasional exposure to areas with wet floors and high volume of noise.
- Climbing stairs and ladders is an essential function of this position as most operational areas are above ground level. The use of ladders and stairs is a must for the supervision, evaluations of the area / equipment involved in a project, for project supervision of contractors, employees during the planning, execution, PSSR and commissioning of projects.
- Extensions of regular working hours are occasionally necessary to complete time-sensitive projects or to respond to emergencies.
